Job Description
As the Executive Assistant, you’ll play a key role in supporting C-suite and Director-level executives, ensuring seamless day-to-day operations. You’ll handle critical administrative tasks, coordinate corporate travel, manage executive communications, and oversee key events. Your ability to anticipate needs, maintain confidentiality, and work proactively will enhance leadership efficiency.
Responsibilities
Here’s what an ordinary day of work might look like:
• Kickstart the day by reviewing the CEO’s inbox, flagging priorities, drafting responses, and ensuring urgent matters receive attention.
• Prepare for executive meetings—finalizing agendas, organizing materials, and confirming attendees.
• Attend leadership or board meetings, taking minutes, tracking action items, and following up to ensure deadlines are met.
• Coordinate travel plans for executives and employees, securing optimal itineraries and handling last-minute changes.
• Oversee corporate contracts for travel and cell phones, ensuring cost-effectiveness and smooth operations.
• Plan company-wide events and employee recognition initiatives, ensuring every detail is executed flawlessly.
• Review and refine key documents, reports, and proposals before submission.
• Manage office operations, from supplies to equipment maintenance, to keep everything running smoothly.
• Liaise with internal departments and external partners to support business objectives.
• End the day by organizing tasks for the next day, ensuring seamless executive support.
Job Qualifications
This job is for you if you:
• Have post-secondary education in Business, Administration, or a related field.
• Bring 5-7 years of experience as an Executive Assistant supporting senior leadership.
• Are highly proficient in Microsoft Office and eager to learn new software.
• Excel in organization, problem-solving, and multitasking.
• Have strong written and verbal communication skills with a keen attention to detail.
• Work independently and thrive in a fast-paced environment.
• Own a reliable car and hold a valid driver’s license for occasional travel and other needs.
